Invoice Settings & Customization
Customize invoice defaults, numbering, and appearance in auftakt.
Default currency
auftakt uses the currency defined in your account settings as the default for new invoices. You can override the currency on a per-invoice basis when creating a new invoice.
To change the default currency:
- Open Settings from the main navigation.
- Go to Billing or Account preferences.
- Select your preferred default currency from the dropdown.
Tax rate
You can set a default tax rate that is pre-filled when creating new invoices. Individual invoices can use a different rate — the default is just a convenience.
- In Settings → Billing, set your Default tax rate (percentage).
- When you create a new invoice, the tax rate field is pre-populated with this value.
- Only entries marked as Taxable contribute to the tax calculation.
Invoice numbering
Invoice numbers are assigned automatically in sequential order (INV-0001, INV-0002, etc.) and cannot be edited. The sequence is unique per organization.
Notes and payment terms
You can add default invoice notes or payment terms that appear on every invoice you generate:
- In Settings → Billing, find the Default invoice notes field.
- Enter your standard payment terms, bank details, or any other text.
- This text is included on all new invoices and can be edited per invoice.
Client billing information
Invoice line items pull the client name from the client record. Make sure your client records have accurate information — especially the company name and address — as this information appears on the generated invoice PDF.
To update a client's billing details:
- Open Time Tracking and click the ⋯ menu next to the client.
- Select View details and update the relevant fields.
- Changes apply immediately to new invoices (existing invoices are not retroactively updated).
Invoice branding
auftakt applies plan-based branding to generated invoice PDFs:

Custom business logo (Pro)
Pro users can upload a logo that appears in the header of every generated invoice PDF.
- Go to Settings → Business in the main navigation.
- Scroll to the Business Logo section.
- Drag and drop an image or click to browse. Supported formats: PNG, JPG, WebP.
- Crop the image using the crop dialog and click Save.
The logo is stored securely and linked to your business profile. It will appear automatically on all newly generated invoice PDFs.
To remove the logo, click the Remove button in the Business Logo section.
Note: The Business Logo upload is only available on the Pro plan. Basic and Free users can upgrade from Settings → Billing.
Sending invoices by email
When you send an invoice, auftakt delivers it to the email address stored on the client record. If a client has no email address set, the Send action is disabled and a Set Email button is shown so you can update the client first.
Make sure your client email addresses are up to date to avoid delivery issues.
